The read, end to end — 90 seconds

Watch Keybid read a plan set.

One invitation comes in, one civil set gets read, and every item that could cost you money comes back with the sheet it came off — before you spend an hour on takeoff.

This is a real read of a sample civil set — no signup, nothing to install. Everything below is the same reader, the same rules and the same Compliance Audit that run on a set you upload. The project, the general contractor and the invitation are illustrative sample data that ships with Keybid — not a customer's file and not a real project.

1 The invitation

An ITB lands. Keybid cards it.

This is the email an estimator gets forty times a week — buried in a thread, half the facts in prose. Keybid pulls out who is asking, what it is worth, and when it is actually due.

Why Review, not Go: new GC — no track record with them, 9 days out — workable runway, prevailing wage / certified payroll load, squarely in your trade.
It read the time, not just the date. A bid card that says “due September 12” is a bid card that gets opened at 3 p.m. on September 12. Keybid stores the hour, and the deadline watch counts down to 2:00 PM — because that is the number that decides whether your envelope is late.
2 The plan read

Eight civil sheets, mapped in about two seconds.

Keybid reads the sheet index, names every sheet, and marks the ones that touch your trade — here, Excavation & Grading. No manual sheet log, no scrolling a 200-page PDF looking for the grading plan.

Keybid copies numbers that appear as text next to scope words and tells you which sheet each one came off. It does not measure areas or compute cut and fill — that is still your takeoff, and this is the head start.

3 The Compliance Audit

This is the part that pays for the subscription.

The same flags, grouped the way an estimator actually triages a set: what could cost you money, what speeds the bid up, what keeps the crew safe. Every single one cites the sheet it came off, so you can go verify it yourself in ninety seconds.

⚠️
Sample data. Sunset Ridge is an illustrative civil set that ships with Keybid — it is not a customer's project, not a live file, and nothing below was uploaded by anyone. The rules producing these flags are the shipping rules; only the set is staged.
🧾Compliance Audit — what could cost you, what speeds you up, what keeps the crew safe.
🛡 Risk — could cost you money (3)
Prevailing wage — Prevailing wage applies — certified payroll every week, and the admin load has to be in your number, not absorbed. [C000 COVER SHEET & SHEET INDEX]Spec section 00 73 46 / DOL Davis-Bacon
Geotech report referenced — Geotechnical report referenced but not bound into the set — verify it is current; a stale soils report is what an update letter moves your sections with, after award. [C300 GRADING PLAN]Spec section 02 32 00 Geotechnical Investigations
Dewatering — Dewatering referenced with groundwater noted at 11 ft — RFI who holds the discharge permit and where the water goes before you price the wet utility runs. [C400 UTILITY PLAN]Spec section 31 23 19 Dewatering
⚡ Speed — helps you bid faster (2)
Sheet index found — Sheet index read — 8 sheets mapped, 8 touching your trade. No manual sheet log needed. [C000 COVER SHEET & SHEET INDEX]
Type II aggregate base — Type II aggregate base identified at 13 in under the heavy-duty section — the import tonnage driver is already dimensioned for you. [C501 SITE DETAILS]Spec section 32 11 23 Aggregate Base Courses
⛑ Safety — keeps the crew safe (2)
Trench depth over 5 ft — Storm run sits 8 ft deep — over 5 ft, so a protective system is required and trench safety is a line on the bid, not a field decision. [C310 DRAINAGE PLAN]Spec section 31 41 00 Trench Shoring / OSHA 29 CFR 1926 Subpart P
SWPPP and erosion control — SWPPP required. Installation is the small part — weekly and post-rain inspections, documentation and BMP maintenance run for the whole job duration. [C100 SITE PLAN]Spec section 31 25 00 Erosion and Sedimentation Controls / NPDES
Three of these — prevailing wage, the geotech reference, dewatering — live in the specs, not the drawings. That is where bids get lost. Nobody loses a job because they missed the grading plan. They lose it because certified payroll was in a spec section nobody opened, or because the trench was 8 feet deep and shoring never made it into the number. Keybid reads the spec text alongside the sheets and hands you both, cited.
4 What happens next

The read is the beginning, not the deliverable.

A plan read that sits in a folder is a PDF with extra steps. From here Keybid keeps working the bid — and everything that goes out in your name waits for your tap first.

Addenda

They pin themselves to this bid.

Addendum No. 2 arrives from Summit Builders and Keybid attaches it to the Sunset Ridge card instead of a fresh one. If the addendum moves the deadline, the due date and the due time move with it and the change is written to the feed — so the countdown is against the real date, not the one from three weeks ago.

Follow-up

The chase is drafted for you.

Keybid writes the follow-up to Dana — the right one for where the bid is — and puts it in front of you as a draft. You approve every word before anything sends. No email leaves in your name on its own.

Deadline

The clock is watched for you.

2:00 PM Friday is tracked from the moment the card is created. The bid surfaces as the window narrows, so a job you priced right does not die because it was remembered at 2:40.

Where this stops

What Keybid does not do.

The honest limits, in one paragraph.

Keybid reads the text layer of a PDF. If a sheet is a scan, a photograph, or an image with the words baked into the picture, there is no text layer and Keybid reads nothing off that sheet — we do not run OCR today, and a set with no extractable text is refused with a message telling you so. There is a cap on how much of a set we read, so an enormous submittal package will not be read cover to cover. Quantities are copied, not measured: Keybid pulls numbers that appear as text near scope words, and it does not measure areas, compute cut and fill, or check that a number it copied is the right number for your scope. And every single thing Keybid produces — every flag, every quantity, every drafted email — is a draft for a human to check. It is not a takeoff, not an estimate, and not professional advice. The full version of this lives in our Terms of Service.

We would rather you find that out on a marketing page than at 1:45 on a Friday.

Run this on your own set.
